Give the team one clear starting point.
Create shared AI instructions with clear ownership, source rules and review checks, without turning every task into a long policy document.

One colleague gets a useful handover. Another gets a polished guess. Before collecting more prompts, agree what good work must contain.
Agree the repeated rules first
Shared AI standards should state the rules that apply across tasks: which information is approved, how sources are identified, what must remain uncertain and who reviews the result. Keep the specific job in a separate task brief. This makes the common rules easier to maintain.
Choose one task used by two colleagues, such as project handovers. Compare the outputs against the same source. List differences that matter: invented dates, missing blockers or suggestions presented as agreements. Agree those checks before debating tone.
Your first standard can be one page. It needs an owner and usable examples more than a large collection of instructions.
