A better workflow starts with one small task.
Choose a repetitive business task for AI: compare meeting notes, enquiry sorting and weekly summaries, then define a result someone can check.

You don’t need to rethink your whole business to find a useful place for AI. Start with one piece of work you understand well.
Choose a task you can recognise
Start with something you did recently, rather than a broad ambition such as “use AI in the business”. A useful candidate has a recognisable starting point and a result you can check: turning meeting notes into draft actions, sorting incoming enquiries for review, or preparing a weekly project summary.
Write down three tasks that repeat. For each one, ask: does it happen often enough to matter, do I have the information needed, and would I recognise a wrong answer? Choose the task with the clearest answers. A task that takes ten minutes but creates frequent confusion may deserve attention before a longer task that already works well.
Your first output is one sentence: “When [this happens], I use [this information] to produce [this result], which [this person] checks.” If you cannot fill the gaps, clarify the work before choosing a tool.
